Terms of Service – i-HEATPUMP LTD

These Terms of Service (“Terms”) apply to all services provided by i-HEATPUMP LTD (“we”, “us”, “our”). By booking any service via our website or booking platform, you agree to be bound by these Terms.


1. About Us

i-HEATPUMP LTD is a UK-registered company providing independent heat pump diagnostic, inspection, and reporting services.

Company number: SC872656 Registered in Scotland.


2. Scope of Services

We provide diagnostic inspections, performance assessments, servicing, and structured reporting for heat pump systems.

Our services are diagnostic and advisory in nature and are based on observations, data analysis, and professional judgement at the time of inspection.

We do not guarantee system performance or future outcomes, and we will not undertake remedial installation work unless explicitly agreed in writing.

Any remedial work is subject to a workmanship guarantee of 12 months from the date of completion.

Any workmanship guarantee does not extend to elements of the system or related systems that are not the work product of i-HEATPUMP Ltd


3. Booking & Payment

Full payment is required at the time of booking.Bookings are not confirmed until payment has been received.

Arrival and departure time are not guaranteed and booking time selected should be considered as confirmation of the day (AM/PM) arrival.

i-HEATPUMP is not liable for any time off work taken to accommodate appointments - evening & weekend appointments are available and should be booked if required.

We do not offer credit terms or post-completion invoicing for standard products and services.

If services other chargeable works are agreed outwith the original scope, these will be paid electronically by payment link on completion.

Failure to pay for works on completion may at i-HEATPUMP;s discretion result in removal of the work product without re-reinstatement, recommissioning or otherwise guaranteed full operation of the system.

4. Cancellations & Rescheduling

Customer cancellation policy differs by service type:

  • Emergency Call Out - no refund after booking confirmed / payment taken

  • Commissioning &/or Diagnostic Report Visit - cancel or reschedule online up to 48hrs prior to scheduled appointment time

  • If an appointment is cancelled due to a safety concern identified by an engineer on arrival, the appointment may be cancelled with partial or no refund at i-HEATPUMP discretion


If we cancel prior to attendance you may choose a full refund or reschedule.


5. Access & Site Conditions

You must ensure safe access to the system. Pets must be secured, and safe working conditions must be provided

If access is not possible or is unsafe, the visit may be cancelled until such time as the work can be completed safely.


6. Reports & Deliverables

Reports are issued digitally to the bill payer and reflect findings at the time of inspection.

Reports will be issued as soon as practically possible after the work has been completed.

Reports are opinion based and are evidence backed (where possible).

Supplied reports and their content are not intended to be used in litigation.

7. Limitations of Liability

Our total liability is limited to the fee paid. We are not liable for indirect or consequential losses.Nothing limits liability for death or personal injury caused by negligence.

8. No Guarantee of Outcomes

Performance depends on factors beyond our control including installation quality, property fabric, and user behaviour. Consequently, whilst we endeavour to provide performance maintenance or improvement, no guarantee of such is intended.

9. Intellectual Property

All reports, methodologies, and tools remain the intellectual property of i-HEATPUMP LTD. Reports, methodologies and software may not be commercially reproduced in part or full without written permission.

10. Fair Use & Conduct

We may refuse or terminate services for abusive behaviour, misleading information, or unsafe conditions.

11. Privacy & Data Protection

Personal data is handled in accordance with our Privacy Policy.

12. Governing Law

These Terms are governed by the laws of Scotland.

14. Discounts, Voucher Codes & Promotions

Discounts are discretionary and subject to availability

Voucher codes must be applied at the time of booking.

Discounts cannot be applied retrospectively or combined unless stated.

Discounts apply only to specified services and dates and have no cash value.
